JOB SUMMARY AND KEY PRIORITIES
Active Minds is seeking two highly organized individuals with experience in event planning, an eye for detail, and a passion for travel. Active Minds’ Send Silence Packing® program and exhibit catalyzes conversations that contribute to a community’s overall positive climate for mental health through storytelling. The Associates and the Send Silence Packing® team will support the execution of numerous tour stops and programs throughout the year to support youth mobilization for mental health, and ensure a professional and superior client experience. This position reports to Active Minds’ Events Manager.

KEY RESULTS
• Host and Client Management: Ensure effective communication and detailed logistics management with contracted hosts for Exhibit Stops. With the support of the Send Silence Packing team, Associates will confirm all day-of event support for each tour stop and manage and schedule pre- and post-event technical assistance such as client calls, site visits, pre-event materials, training, post-event follow-up, and close-out procedures with event hosts to ensure a successful event

• Tour and Equipment Management: Produce, secure, and ensure the highest level of aesthetic quality of all needed equipment, resources, and educational materials for on-site displays and digital marketing. Program Associates will track inventory, catalog and tag bookbags and items, and maintain the quality of program equipment and materials ensuring the best possible appearance and exhibit experience.

• Tour Facilitation: The team of Program Associates will share the responsibility of traveling and driving a branded box truck to each site location throughout the year, typically during the fall and spring school semesters. The Program Associates will be responsible for engaging in discussion with and offering resources to event participants and passersby at each location and be responsible for set-up, onsite coordination, and tear-down with support from onsite volunteers for each event stop.

• Volunteer management: With support from the Event Manager, educate and conduct virtual training with volunteers on the SSP program and goals. Effectively manage 15-25 on-site volunteers to help with set-up, tear-down, and staff the event throughout the day.

• Produce Social Media Content: Contribute to the online presence of the program by providing images for social media, story collection and promotion onsite at events, and written content on the Active Minds blog in collaboration with the Active Minds Communications team.

• Story Collection and Management: Manage and collect new digital and written stories for backpacks, onsite Behind the Backpacks activation, and online usage utilizing the Salesforce Inventory System

• Programmatic Evaluation and Improvement: In partnership with the Event Manager and Send Silence Packing Team, ensure various programs' effectiveness, host/chapter satisfaction, and overall programmatic success. Participate in efforts to improve program implementation.

• Administration: Maintain and track organized records of event details, communication, and status in the organization-wide CRM system, Salesforce, and participate in cross-department committees and initiatives.

• Additional Functions: Consistently communicate and attend weekly virtual check-ins with the Event Manager and submit reports after every event, report incidents, etc, while maintaining a strong connection with the Send Silence Packing Team while off and on the road to ensure program integrity and team morale. Act as an ambassador of Active Minds while on the road, including interviews with on-site local media outlets, and engaging with donors, partners, and Active Minds national staff adhering to the utmost standards of professionalism. Help ensure the successful execution of grant deliverables and other special projects related to Send Silence PackingⓇ. Support other programs and teams and represent Active Minds at conferences, meetings, trainings, and other events as needed.

LOCATION
This is a traveling role. During the Fall (August-November) and Spring (March-May) this role will be traveling full-time on the road. There will also be additional traveling needs for events in the summertime. During the off tour periods, this is a Hybrid Role (2 Days In Office, 3 Days Remote), based in Washington, D.C.

COMPENSATION
This position offers a salary range of $50,000-$57,500 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 1 salary band, and as such, has the potential to grow to $65K over time. FLSA Status: Exempt.
